BOARD OF DIRECTOR'S MEETING
JUNE 10, 2004
Those present included Kathy Goss, Barbara Coles, Ken Shepherd, Gary Cobbs, Ellen Buche, Norm Stewart, Sheri Shepherd, Leesa Eason, and Larry Loew. The meeting was held at Norm Stewart's. This is the first meeting for the newly elected Board.
Finances: Norm has 5 financial reports. We currently have $7004.18 in the bank with no outstanding bills. (Last year at this time we had less than $2000 with several outstanding bills.) We have inproved our financial security a great deal in the past year. Net income from Monday night dances this past year has been $3794.10. Total income was $31,417. Saturday night dances lost a total of $574.85 last year. Potato Run made $281.45 it's first year.
Insurance: Through CDSS this costs @$900. Norm is currently seeing if we could get it cheaper on our own
Potato Run 2005: Clint has again agreed to chair the committee to put this dance on. MOTION: A motion was made to once again have Potato Run as a weekend dance in May and that it be the third Saturday weekend. Motion made, seconded, passed unanimously. It was recommended by Leesa that someone be put in charge of kitchen for weekend, maybe as a paid job.
Demo Dance: It has been offered to us to do a demonstration dance June 20th between 4 and 4:30 P.M. at the Butchertown Art Fair. MOTION: The motion was made to decline this invitation as we were given insufficient time to respond. Motion made, seconded and passed.
Yahoo Group: Norm has started one for LCD on internet to help get word out about dances.
LCD Data Base: Mostly for mailing and membership list purposes. Has been kept by Drew Mills, will now be maintained by Gary.
Fundraisers: A discussion was held about fundraising activities. A yard sale seems to take a lot of work with less reward. An auction, as held during Balance the Belle 2003 seemed to bring in a fair amount of money with less work. MOTION: A motion was made to hold a silent auction during Balance the Belle 2004 weekend with Sheri Shepherd as the board laison and Jack Still as Chair of committee (he has agreed to do so.) Motion made, seconded, passed.
July Dance: The July third Saturday Dance is to be held at Church of the Advent. This is an un-airconditioned hall. Norm suggest we may want a large fan for that. He is checking Grainger's.
Belle Weekend 2004: Gary Cobb will do registration. Alice will do Hospitality. Van Gogh's Ear will play Friday night and a workshop on Sat. Steve Zakon will call Sat. & Sun. Nightengale will play Sat & Sun. It was suggested that Steve Bennet be asked to call Fri. night. Decorations, we have no one for that yet. Suggested workshops: English, Waltz, Hambo, Contra Etiquette. Flyers to dance groups have been mailed, individual flyers will be sent soon.
English Dance: A new group has been formed to do English Dancing regularly. It was discussed that we should support this effort as much as we can. MOTION: A motion was made that we will support the English Dance effort with Ellen being our laison. Motion made, seconded, passed.
Second Time Free Cards: It was noted that we are now out of these cards. They seem to have been successful. More will be printed.
MOTION: A motion was made that we should begin a co-ordinated marketing effort to try to attract more dancers and that Sheri should be the Chairperson for this effort (Ellen said she would help). Motion made, seconded, passed. MOTION: A motion was made that during the Summer we should have an Early Bird Special for people paying before 8 p.m. getting a dollar off their admission. (Note: it was decided after last meeting and before this one to allow anyone under 30 to get $3 admission for the Summer.) Motion made, seconded, passed.
KY Music Weekend: This will be at the end of July. We will see about doing a demonstration dance at that time.
