LOUISVILLE COUNTRY DANCERS BOARD OF DIRECTORS' MEETING NOVEMBER 17, 2003
Those present included Kathy Goss*, Larry Ochs*, Norm Stewart*, Barb Coles*, Beth Brocaw*, David Lazar, Ken Shepherd*, Leesa Eason*, Drew Mills* and Clint Cummins.
I. Christmas Dance Planning. Dance to be held 12/20/03 at Church of the Advent.
a. Kathy reported she is going to talk to Church about removing the rummage sale items that were in the dance hall for the last Saturday nite dance we had there.
b. Dance floor at Church of the Advent. It was noted that the floor was sticky in some places and slick in other places, making it harder to dance on. Norm suggested we get a work party together and work on the floor. It was decided that such a task would have to wait until December and that the Church would need to be contacted so permission could be obtained.
c. Acoustical problems at Church of the Advent. It was noted that it was easier to hear band and caller at our most recent dance because we had added two more speakers in the hall but that the sound was still a proplem. The main fault seems to be that the room is too "live" with so many hard surfaces the sound bounces off of them too much and is not absorbed. Norm is trying to get Gary Falk to come and check the hall out (he is a sound studio owner). We will probably try to get the Church's permission to hang quilts and/or draperies from the ceiling and/or on the walls.
d. Pot luck. Traditionally the Christmas Dance starts with a pot-luck and it was felt that this year's dance should be the same. The time is set for 6 p.m. An inventory of our paper goods and plasticware will be made and Larry Ochs has said that he will buy more of whatever is needed.
e. Candles in window sills will be done again.
f. David said he could provide some trees from his farm for decoration as well.
g. Leesa and Beth will co-chair the decoration committee.
h. Morris Dance group will be there (Patty Kanapple and crew) Motion Made and Passed: We will allow the Morris Dancers into our dance for free to repay them for their performance at break time. (Beth made motion, Norm seconded, all unanimous.)
II Potato Run. May 7, 8, 9, 2004. Have camp from noon on 7th to noon on 10th a. Will charge $40 before April 15th and $45 after, per person, this includes food. b. Dance floor will accommodate about 100 persons. Motion Made: LCD to sponsor weekend and take fiscal responsibility for it. (Motion made by Norm, seconded by Beth. Motion was tabled pending more information and a clearer idea of what would be the possible financial exposure for LCD).
III Church of the Advent. Motion Made and Passed: It was decided to continue having our Saturday Night dances at this venue and to work with the church to improve the hall. (Norm made the motion, Leesa seconded, all unanimous.)
IV. April 17, 2004 dance. David Lazar announced he will have a dance on this date and asked for LCD to make this their official dance for that date. Motion Made: A motion was made to approach David about alternative dates for his dance. (Drew made motion, Beth seconded, motion tabled till next meeting.)
V. May 15, 2004 dance. Jackie Greene's wedding day. Motion Made and Passed: LCD will allow Jackie to hold the dance as his wedding dance and hold the dance at St. Andrew's with the proviso that he pays for it. (Leesa made the motion, Norm seconded, passed with 6 yeas and 2 nays.)
VI. Gift Certificates for x-mas presents was discussed and decided on. They will be $5 for each dance, good for either Monday or Saturday dances.
Next meeting Dec. 1, 2004 at St. Andrew's.
